WORKS CLOSELY WITH: Worship Department Staff/Vergers, Music Department Staff, Cathedral Finance Department, Guest and Event Management Services (GEMS) and Human Resources Staff

JOB SUMMARY:

Washington National Cathedral is seeking a full time Worship Department and Special Services Manager to act as the manager, representative, and primary point of contact with families and individuals during the planning process of funerals, weddings, and occasional special services. This position will additionally provide administrative support for the Worship Department and Canon for Worship.

This person will be a key member of the Worship Department, working and collaborating with the Music and GEMS (Guest and Event Management Services) Departments of the Cathedral. This highly collaborative and detail oriented position requires an individual with superior interpersonal skills, maturity, and tenacity. The ideal candidate would possess a sensitive, adaptable, caring, and compassionate spirit to work closely with families and individuals in planning their life celebration events.

DUTIES AND RESPONSIBILITIES:

Organization and Planning:

  1. Oversee and monitor progress of service preparation through to successful completion of all weddings, funerals, and other special services offered through the Worship Department (collectively referred to as “pastoral offices.”)
  2. Work closely with families and individuals to plan these special services, and serve as Worship Department’s representative and primary point of contact for other Cathedral departments, the family and other participants and stakeholders through the planning process and the service itself
  3. Coordinate with various departments of the Cathedral to plan, schedule, and organize collaborative efforts prior to the service. Work with Head Verger to process interments—requests, approvals, scheduling pre-planning meetings, etc.
  4. Manage meetings and communication between WNC staff and families and individuals.
  5. Assess, approve or deny, and coordinate any changes or requests from families and individuals.

Day of Coordination and Operations:

  1. Serve as Worship Department’s representative and primary point of contact for families, individuals, and WNC staff on day of event.
  2. Manage day of operations, troubleshooting logistical adaptations, while ensuring an exemplary completion of event.
  3. Coordinate with GEMS (Guest and Event Management Services) and House Managers day of event.
  4. Oversee successful completion of service.

Management and Administration:

  1. Prepare and process departmental invoices, check requests, staff reimbursements, pay sheets, and timesheets. Monitor and order general departmental office supplies.
  2. Manage Worship Office email account.
  3. Attend calendar meetings; manage appointment calendar for the Canon for Worship; and maintain departmental calendar, including scheduling meetings, tracking vacations, securing meeting spaces, etc.

Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

  1. Bachelor’s degree, with preference for degree in business administration, hospitality, communications, events management, or other related fields.
  2. At least three years administrative experience. Experience in a church setting, wedding planning, or funeral home preferred
  3. Proficiency in Microsoft Office, especially Word and Excel..
  4. Strong interpersonal and pastoral skills, with demonstrated ability to respond with patience, maturity, and sensitivity to individuals in challenging circumstances.
  5. Washington National Cathedral requires all employees to be fully vaccinated against COVID-19, including any boosters recommended and available to the general public, in the absence of eligibility for medical or religious exemptions.

KNOWLEDGE, SKILLS, ABILITIES:

  1. Superior interpersonal skills and a proven ability to manage conflict.
  2. Excellent attention to detail and ability to organize.
  3. Excellent problem solving skills and ability to “think on the fly”.
  4. Excellent written and oral communication skills. Ability to communicate effectively with people from a variety of backgrounds.
  5. Excellent writing and editing skills; ability to write and format professional correspondence and memos.

Skills and Abilities:

  1. Ability to organize workload and set priorities according to department deadlines and supervisory input.
  2. Ability to function with tact and diplomacy while under pressure.
  3. Ability to respond with patience, maturity, and pastoral sensitivity to families, couples, and individuals in the planning of funerals/memorials and weddings.

Preferred Knowledge of:

  1. Christian/Episcopal Church and liturgy.
  2. Some music education.
  3. Desktop publishing software (Adobe, InDesign/Acrobat) and database software (Access, Raiser’s Edge).
  4. Financial management software.

WORKING CONDITIONS:

  1. This position requires work outside of regular business hours, including evenings and weekends.
  2. The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation, including but not limited to:
    1. Prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, and stooping.
    2. Grasping, repetitive hand movement and fine coordination using a computer keyboard.
    3. Near and far vision.
