Job Summary:

This individual will oversee pastoral offices, such as weddings and funerals, in conjunction with related departments; will manage the Worship Department Calendar as well as the financial/accounting duties for the department; will manage the calendar of the Canon for Worship and schedule meetings/appointments on the Canon’s behalf.

Among the duties assigned to the position are the following:

  1. Serves as Worship Department’s representative and primary point of contact for pastoral offices. Manages meetings between WNC staff and families and is the principal coordinator for pastoral offices. Works closely with families and individuals during planning process.
  2. Oversees and monitors progress of service preparation through to successful completion of all weddings, funerals, and occasional special services at WNC. Works with Worship, Music, and Guest and Event Management Services (GEMS) to schedule services.
  3. Works with Head Verger to process interments—requests, approvals, scheduling preplanning meetings, etc.
  4. Manages appointment calendar for the Canon for Worship; maintains departmental calendar—meetings, vacations, etc., including securing meeting spaces in building through GEMS.
  5. Attends calendar meetings.
  6. Processes departmental invoices, check requests, receipts, and staff reimbursements; processes bill approvals through Anybill.
  7. Prepares, logs, and submits special event pay sheets; coordinates/prepares departmental timesheets for signature and copies for the files.
  8. Monitors WorshipOffice email account and responds to or redirects all non-rota emails and requests.
  9. Monitors and orders general departmental office supplies.

Minimum Qualifications:

  1. Bachelor’s degree.
  2. At least three years administrative experience.
  3. Experience in a church setting is helpful.
  4. COVID-19 vaccination is mandatory.

Knowledge, Skills and Abilities:

  1. Proficiency in Microsoft Office, especially Word and Excel. Experience with desktop publishing software (Adobe InDesign/Acrobat) and database software (Access or Raiser’s Edge) is helpful.
  2. Excellent attention to detail especially in the areas of data entry, invoice processing, and inventory maintenance.
  3. Ability to organize workload and set priorities according to department deadlines and supervisory input. Excellent writing and editing skills; ability to write and format professional correspondence and memos.
  4. Ability to function with tact and diplomacy while under pressure.
  5. Ability to communicate effectively with people from a variety of backgrounds.
  6. Ability to respond with patience, maturity, and pastoral sensitivity to families, couples, and individuals in the planning of funerals/memorials and weddings.
  7. A working knowledge of the Christian/Episcopal Church and liturgy is preferred, as is having some music education.
  8. This position requires work outside of regular business hours, including evenings and weekends.
