Job Summary:

 Washington National Cathedral is looking for a mission-driven, organized and professional Assistant to the Dean’s Office. This position would provide executive support to the Dean and Provost, acting as a primary point of contact for both internal and external constituencies. This collaborative role would welcome visitors to the Dean’s Office, schedule meetings for the Dean and Provost, and provide support in matters pertaining to fundraising, setting dates for fundraising meetings with the Dean and Provost. The Assistant to the Dean’s Office would provide scheduling assistance to the Chief of Staff and Chief Operating Officer. This important role will also provide administrative support for various key stakeholders in the Dean’s office.

Duties and Responsibilities:

Administration:

  • Completes a broad variety of administrative tasks for the Dean, Provost, and Chief of Staff/COO, including managing extremely active calendars of appointments; composing and preparing correspondence that may be confidential; managing incoming and outgoing mail; completing expense reports, timesheets, and clergy pay sheets; maintaining contacts; and arranging detailed travel plans and itineraries.
  • Provides support to the Provost and Dean in their pastoral duties, including internal and external scheduling, sermon preparation, and visiting teaching.
  • Prioritizes conflicting needs; handles matters expeditiously and proactively and follows through on projects to see them to successful completion, often with deadline pressures.
  • Updates Raiser’s Edge database as needed on behalf of the Dean and Provost.
  • Manages special projects and performs other duties as deemed necessary.
  • Completes timesheets and expense reports for the Dean, Provost, and Chief of Staff. Provides support to the Dean and Provost in their pastoral duties.

Communication:

  • Serves as a welcoming presence in the Dean’s Office, greeting and providing hospitality to visitors.
  • Communicates directly, and on behalf of the Dean, Provost, and Chief of Staff, with governance members, donors, staff, and others, on matters related to scheduling and day-to-day operations.

Collaboration:

  • Provides a bridge for smooth, multi-way communication between the Dean’s Office and Development staff, to ensure that timely, accurate and appropriate information is disseminated.
  • Works closely with the Director, Office of the Dean and Provost and Chief of Staff and provides support, as appropriate, with governance meetings and other aspects of supporting the Dean’s Office.
  • Works closely with the Director, Office of the Dean and Provost, gift officers and development staff to ensure that prospects assigned to the Dean or Provost have a seamless experience. This includes responding to inquiries from prospects, including those of a sensitive or confidential nature, and facilitating the appropriate course of action, referral, or response.
  • Works closely with the Director, Office of the Dean and Provost to provide supplemental assistance with governance and events, as appropriate.
  • Manages a variety of special projects.

Performs other duties as assigned.

Minimum Qualifications:

  1. Bachelor’s degree in Administration or similar area, or commensurate experience.
  2. Three+ years executive-level administrative or office management experience in support of a senior executive, preferably in a nonprofit organization.
  3. Washington National Cathedral requires all employees to be fully vaccinated against COVID-19, including any boosters recommended and available to the general public, in the absence of eligibility for medical or religious exemptions.

  10. Proficiency with all aspects of Microsoft Office Suite, including Microsoft Word, Excel, and PowerPoint, as well as mail merges.
  11. Proficiency with donor database
  12. Strong commitment to the mission and values of Washington National Cathedral.

 Experience Preferred:

  1. Experience with Raiser’s Edge preferred.
  2. Fundraising and campaign experience preferred.
  3. Ability to speak and understand Spanish a plus.

 Working Conditions

  1. This position requires work outside normal business hours, including evenings and weekends, for special events or to meet deadlines.
  2. This position can be occasionally performed remotely but does require regular work on site. Must be available to work on site as scheduled or requested.
  3. The position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, and stooping in the performance of daily activities.
  4. The position also requires grasping, repetitive hand movement and fine coordination in preparing reports using a computer keyboard.
  5. The position also requires near and far vision for reading and preparing written reports and other required documents.
  6. Acute hearing is also required when providing phone assistance.
  7. The need to lift, drag, push, and pull files, reports and other materials weighing up to twenty-five pounds is also required.
